Purpose

The Reminder email allows you to configure the reminders that are sent to users regarding their governance tasks

Steps

  1. Click on the “Reminder Email” link from the “Execute” section of Verify
  2. If no email is listed then the system will generate the default reminder messageBN

Default Email message Template

You have been assigned Governance Task [Task ID] - [Task Name] from Governance Instance [Instance Name] and the Task must be complete by [Task Due Date].
You must acknowledge by updating the Task status to [Task Status] or you can provide the associated Evidence records for the Task.
Log Into https://navvia.net with Userid [USER ID]. You will be taken to the Navvia Home page. Click on the My Governance Tasks Tab.
Find the Task indicated above and click on the plus sign next to the task. You will then see the list of Evidence Records associated with this task. Click on the edit icon next to each Evidence record to change the status. Change the status to Complete if Evidence has been provided.
You can provide evidence in the form of an attachment by clicking on the plus sign next to each evidence record. You can view, Edit or add an attachment.
Once all the Evidence Records have their status set to Complete you can then set the Task Status to Complete.
If you want to add a reminder to your calendar double-click the attachment and follow your email client instructions or you can manually add your own reminder.

Note 1:

The reminder email can optionally be configured to include an ICS file, which will allow you to create a reminder entry in any desktop calendar system that supports the ICS format.


To create your own Reminder Email click on the New Email Notification button on the toolbar.

Note 2:

There is only one active email message.  The same email Subject line and body text is used for all reminders.  Do not put in any information specific to the Task, Navvia will append the unique information after your message.

This will bring up an edit window like the one below. Create your Subject as well as the body of the message.

You can optionally opt to include the ICS file type. You do not need to include the specific task number or due date. The system will append that to the message when it is sent.


Save the message when you are done.


First notification of a task

The system also automatically generates the first notification that a user has a task. This “first notification message” is currently not configurable. An example of this “first notification” follows:
